SMS Messaging Policy – Microsoft Teams
Purpose:
This policy governs the use of SMS messaging via Microsoft Teams to ensure compliance with legal and industry standards, including TCPA regulations.
Scope:
Applies to all employees using Microsoft Teams SMS for business communications.
- Consent & Opt-In
- SMS messages may only be sent to recipients who have provided explicit consent.
- Consent must be documented via written, verbal, or digital confirmation.
- Consent is non-transferable and must be re-obtained for new campaigns or numbers.
- Opt-Out Handling
- Recipients may opt out by replying with STOP or CANCEL.
- Opt-out requests are processed immediately and automatically.
- No further messages will be sent unless the recipient replies with START.
- Messages from other numbers require independent consent.
- Message Frequency
- Users will be informed of the expected frequency of messages during opt-in.
- Frequency will be limited to essential communications only.
- No bulk, marketing, or automated campaigns are permitted.
- Content Restrictions
Messages must not contain:
- Adult, obscene, or vulgar content
- Hate speech or harassment
- Promotions for alcohol, tobacco, firearms, or gambling
- Fraudulent or misleading information
- Data Privacy
- Mobile data will be stored securely and used only for business-related communication.
- No data will be sold or shared with third parties.
- Users may request data deletion or update preferences at any time.
