SMS Messaging Policy – Microsoft Teams 

 

Purpose: 

This policy governs the use of SMS messaging via Microsoft Teams to ensure compliance with legal and industry standards, including TCPA regulations.

   

Scope: 

Applies to all employees using Microsoft Teams SMS for business communications. 

  1. Consent & Opt-In
  • SMS messages may only be sent to recipients who have provided explicit consent.
  • Consent must be documented via written, verbal, or digital confirmation.
  • Consent is non-transferable and must be re-obtained for new campaigns or numbers.
 
  1. Opt-Out Handling
  • Recipients may opt out by replying with STOP or CANCEL.
  • Opt-out requests are processed immediately and automatically.
  • No further messages will be sent unless the recipient replies with START.
  • Messages from other numbers require independent consent.
 
  1. Message Frequency
  • Users will be informed of the expected frequency of messages during opt-in.
  • Frequency will be limited to essential communications only.
  • No bulk, marketing, or automated campaigns are permitted.
 
  1. Content Restrictions

         Messages must not contain: 

  • Adult, obscene, or vulgar content
  • Hate speech or harassment
  • Promotions for alcohol, tobacco, firearms, or gambling
  • Fraudulent or misleading information
 
  1. Data Privacy
  • Mobile data will be stored securely and used only for business-related communication.
  • No data will be sold or shared with third parties.
  • Users may request data deletion or update preferences at any time.
